FOB, CIF, EXW: Which One Should I Choose?

If you’re new to printing & packaging foreign trade, you’ve probably been confused by terms like FOB, CIF, and EXW. You’re not alone! Many global buyers struggle with these terms at first—and mixing them up can lead to costly mistakes, delayed shipments, or even lost goods. Today, we’re breaking down these 3 most common foreign trade terms in plain language, with examples tailored to printing & packaging sourcing. No jargon, just clear, actionable info.

Let’s start with the basics: These terms (called Incoterms) define who is responsible for shipping, insurance, and customs clearance. They’re used in every foreign trade transaction, so understanding them is key to a smooth sourcing process.

1. FOB (Free On Board): The Most Popular Choice for Printing & Packaging Buyers

FOB means “Free On Board.” Here’s how it works for printing & packaging sourcing:

• The supplier is responsible for producing your printing & packaging products, packaging them properly, and delivering them to the port you specify (e.g., Shanghai Port, Ningbo Port).

• The supplier pays for local transportation to the port and handles the export customs clearance.

• Once the goods are loaded onto the ship (or other transport vehicle) at the port, the responsibility shifts to you.

• You pay for international shipping, insurance, and import customs clearance in your country.

Example: If you order 10,000 corrugated boxes with FOB Shanghai terms, the supplier will deliver the boxes to Shanghai Port, clear export customs, and load them onto the ship. You then pay for shipping to your destination (e.g., Los Angeles Port) and handle import customs in the US.

Why choose FOB? It’s balanced—you control the international shipping (so you can choose your own logistics provider) and the supplier handles the local part. It’s the most common choice for global printing & packaging buyers, especially new ones.

2. CIF (Cost, Insurance, and Freight): The Easiest Choice for New Buyers

CIF means “Cost, Insurance, and Freight.” It’s even simpler for buyers:

• The supplier is responsible for everything up to your destination port.

• This includes production, local transportation to the port, export customs clearance, international shipping, and insurance.

• Your only responsibility is to clear import customs in your country and pick up the goods from the destination port.

Example: If you order 5,000 PET packaging bags with CIF Los Angeles terms, the supplier will handle all shipping and insurance to Los Angeles Port. You just need to clear customs in the US and take delivery of the bags.

Why choose CIF? It’s perfect if you’re new to foreign trade or don’t want to deal with the hassle of arranging international shipping. The supplier takes care of most of the logistics, reducing your risk.

3. EXW (Ex Works): The Cheapest for Buyers

EXW means “Ex Works.” :

• The supplier only needs to produce the printing & packaging products and have them ready at their factory.

• You are responsible for everything else: picking up the goods from the supplier’s factory, local transportation to the port, export customs clearance, international shipping, insurance, and import customs clearance.

Example: If you order 20,000 paper boxes with EXW terms, you’ll need to send a truck to the supplier’s factory to pick up the boxes, handle all logistics to your country, and clear all customs.

Why choose EXW? Only if you have experience with foreign trade and want to save money. It’s risky for new buyers, as you have to handle all the logistics and customs—one mistake can lead to delayed or lost goods.

Pro Tip for Printing & Packaging Buyers: If you’re new, choose CIF. FOB gives you more control, while CIF is more convenient, but in our 10+ experiences, regularly your own shipping agency would charge you higher cost than the factory’s shipping agency when you do the FOB terms!!! If you have your own shipping agency, EX-works+ picking up from the factory would be the best.
There is another choice – DDP by sea, it is cheap and no need you to do any more works on the shipping, the goods would send to your warehouse and with the tariffs paid.
